Terms, Conditions & Cancellation Policy.

This Agreement governs all bookings and participation in experiences offered by Ceylon Soul (Pvt) Ltd, a company incorporated in Sri Lanka (“Ceylon Soul”, “we”, “us”, or “our”). By confirming a booking or participating in any experience, the client (“Guest”, “you”, or “your”) agrees to be legally bound by this Agreement.
Section 01 — Definitions
For the purposes of this Agreement:
“Experience” means any curated cultural, culinary, artistic, historical, wellness, or community-based activity organised and operated by Ceylon Soul.
“Booking” means any reservation submitted through official communication channels and confirmed in writing by Ceylon Soul.
“Guest” means any individual or group participating in an Experience.
“Host” means the artisan, chef, guide, storyteller, facilitator, or community partner conducting the Experience.
“Travel Agent” means any agent, company, or intermediary booking Experiences on behalf of clients.
“Non-Refundable Deposit” refers to the mandatory deposit applicable to group and travel-agent bookings.
Section 02 — Booking & Confirmation
2.1. All bookings must be made through approved communication channels (email, booking forms, or authorised travel partners).
2.2. A booking becomes legally binding only upon issuance of a written Booking Confirmation by Ceylon Soul.
2.3. The Guest is responsible for providing accurate details, including participant names, dates, dietary needs, medical conditions, and special requirements.
Section 03 — Pricing & Payments
3.1. Experience prices are determined and published by Ceylon Soul and may vary by season, availability, or operational requirements.
3.2. Payment terms — including full payment, deposits, and deadlines — are specified in the Booking Confirmation or invoice.
3.3. Payments must be made via bank transfer or another approved method.
3.4. Ceylon Soul reserves the right to amend prices. Revised prices do not affect already-confirmed bookings.
Section 04 — Cancellation & Refund Policy
This Cancellation & Refund Policy forms an integral part of this Agreement.
4.1. Eligibility for full refunds
A Guest is eligible for a full refund if:
Cancellation occurs 30 days or more prior to the scheduled Experience; or
The cancellation occurs within 29 days or less prior to the scheduled Experience, and is given within 24 hours of making the booking; or
Cancellation is due to a genuine unavoidable circumstance, subject to approval at Ceylon Soul's discretion.
4.2. Cancellation fees (after the refund window)
If cancellation occurs outside the refundable periods, the following charges apply:
5–29 days before the Experience25% of total fee
2–4 days before the Experience50% of total fee
Same-day cancellation or no-show100% of total fee
These charges compensate hosts who have reserved time and prepared resources specifically for your visit.
4.3. Rescheduling
More than 5 days before (subject to availability)No charge
2–4 days before25% rebooking fee
Same-day reschedulingTreated as cancellation — full fee
4.4. Weather-related disruptions
Experiences proceed in light or moderate rain. If severe or unsafe weather prevents the Experience:
Ceylon Soul will reschedule to a mutually agreed date; or
A full refund will be provided if cancellation is necessary.
4.5. Cancellations by Ceylon Soul
If Ceylon Soul cancels due to operational, safety, or unforeseen reasons:
Guests can choose to receive a full refund; or
Reschedule to an alternative date.
Ceylon Soul shall not be liable for additional costs such as accommodation or transport.
4.6. Refund processing
Refunds are processed within 7–14 business days. Bank or currency conversion charges are borne by the Guest.
4.7. No-show clause
Failure to attend without written notice constitutes a no-show, and the full Experience fee becomes non-refundable.
4.8. Late arrival
Guests are required to arrive on time for all scheduled Experiences. A delay of more than thirty (30) minutes shall be considered a significant late arrival, and Ceylon Soul and the Host reserve the right to commence the Experience without the Guest or deny participation entirely.
A delay of sixty (60) minutes or more shall constitute a full no-show, and the Experience shall be deemed forfeited in its entirety, with no refund, reschedule, credit, or compensation provided, unless otherwise agreed in writing.
If late arrival has been communicated to Ceylon Soul in advance, or if the Guest requests an adjustment prior to the scheduled start time, Ceylon Soul may, at its sole discretion, allow a delayed start, partial participation, or a revised arrangement. Such adjustments are not guaranteed and depend on host availability, safety considerations, and operational feasibility.
Certain Experiences — including cooking classes, workshops, home-hosted sessions, cycling tours, photography walks, and cultural experiences — cannot be joined by delayed guests once they have commenced, due to safety, quality, and logistical requirements.
Section 05 — Guest Responsibilities
5.1. Guests must behave respectfully toward hosts, communities, and other participants.
5.2. Guests must follow all safety instructions and cultural guidelines.
5.3. Guests must assess their own physical ability to participate in any Experience requiring walking, cycling, cooking, or outdoor activity.
5.4. Dietary restrictions or medical conditions must be disclosed at least 48 hours in advance of an Experience.
5.5. Ceylon Soul reserves the right to remove any Guest for inappropriate, unsafe, or disrespectful behaviour without refund.
Section 06 — Travel Agent Obligations
6.1. Travel Agents must accurately represent Ceylon Soul's products and pricing.
6.2. Agents are responsible for informing clients of all Experience details, terms, and policies.
6.3. Marketing assets must not be altered without written approval.
Section 07 — Experience Modifications
7.1. Ceylon Soul may modify an Experience due to safety, weather, operational issues, host availability, or community events.
7.2. If modifications materially alter the Experience, alternatives or refunds will be offered per Section 4.4 or 4.5.
Section 08 — Safety & Liability
8.1. Guests participate at their own risk.
8.2. Ceylon Soul is not liable for:
Personal injury or illness, unless caused by proven negligence.
Loss or damage of personal belongings.
Delays or disruptions caused by weather, natural disasters, political unrest, strikes, or third-party failures.
8.3. Guests are encouraged to obtain personal travel insurance.
Section 09 — Media & Photography
9.1. Ceylon Soul may photograph or film Experiences for promotional purposes.
9.2. Participation grants Ceylon Soul permission to use such media unless the Guest opts out in writing beforehand.
9.3. Guests must seek consent before photographing hosts in sensitive cultural settings.
Section 10 — Intellectual Property
All Experience descriptions, itineraries, photographs, branding, and material created by Ceylon Soul are protected intellectual property and may not be reproduced or commercialised without written consent.
Section 11 — Privacy & Data Protection
Ceylon Soul collects and stores personal information solely for logistics, safety, and communication. Information will not be shared or sold, except where required by law or Experience operations.
Section 12 — Governing Law
This Agreement shall be governed by and interpreted in accordance with the laws of the Democratic Socialist Republic of Sri Lanka. Disputes shall be subject to the exclusive jurisdiction of Sri Lankan courts.
Section 13 — Acceptance
By confirming a booking or participating in an Experience, the Guest acknowledges that they have read, understood, and agreed to these Terms, Conditions, and the Cancellation Policy. Questions about these terms can be directed to hello@ceylonsoul.com.
